The Sales & Catering Administrative Assistant responsibilities include:
* Assist Sales Manager and General Manager in daily operations.
* Maintain accurate records, trace files, sales activity reports, contracts, etc.; frequently produce memos and reports that are effective, appropriate for the audience, and grammatically and technically accurate; effectively handle guests, owners and clients on the phone by practicing proper phone etiquette; effectively use computer systems and software or other means of written correspondence available.
* Answer and direct all Sales phone calls.
* Maintain work areas neat and organized.
* Prepare and distribute BEO's, contracts, thank-you letters, cover sheets, Booking recap reports and site notices.
* Transcribe dictated letters, memos, etc. Prepare graphs, charts, statistical research and budget information.
* Daily updates and reports from maintaining future booking logs.
* Distribute contracts, memos, to assigned individuals.
Qualified candidates must have strong office and computer skills, must be proficient in Microsoft Applications (Word, Excel, PowerPoint), knowledge of Delphi Group System preferred. Candidates must also have a good understanding of social media including Facebook and Twitter.
